Privacy policy

How the website, customer portal and desktop application handle information.

Effective September 28, 2026

Who is responsible

The operator and seller is LocalCaptions. Contact support@localcaptions.com about privacy. This policy covers LocalCaptions.com, portal.localcaptions.com and the LocalCaptions desktop application.

Your desktop media stays local

The application copies imported media into local project storage and processes audio, captions and exports on your computer. It does not upload your footage to us or a cloud transcription service. It has no usage telemetry, advertising or mandatory app account. The included default model does not require a first-run download.

Projects, settings, license acceptance and diagnostic logs are stored locally, normally under your Windows user profile in the LocalCaptions application-data folder. Logs may include paths or caption text. Uninstalling retains project data. You control backups and removal of your local files. Review logs before voluntarily sharing them.

Website visits

Our hosting provider, HostGator, processes information needed to serve and secure the sites, such as IP address, requested URL, browser information, time and server errors. The marketing website uses Google AdSense for advertising and Google Analytics to understand aggregate visits and improve the website, subject to applicable privacy choices. The portal uses necessary technologies for authentication, shopping carts, checkout and fraud prevention, and Google Analytics with consent controls. Ads are excluded from checkout, accounts, orders and downloads.

Accounts, purchases and messages

When you register, order or contact us, we process information you supply, such as your name, email address, billing address, account information, order details and correspondence. The portal uses WordPress and WooCommerce to manage accounts, orders and downloads. Passwords are handled by the account system; never send us a password in a message.

Payments

Stripe processes payment and fraud-prevention information under its privacy policy. Payment-card fields are handled by Stripe. We receive transaction status and order-related information, and may receive limited payment-method details such as card brand and last digits; we do not receive the full card number from Stripe’s payment form.

Why information is used

We use information to deliver purchases, manage accounts, respond to correspondence, maintain security, prevent fraud, keep required records and comply with law. Where data-protection law requires a legal basis, these purposes may rely on fulfilling a contract, legal obligations, legitimate interests in secure operation, or consent where required. We do not use your locally processed videos for these purposes.

Sharing and international processing

Information may be processed by providers needed for hosting, email delivery and payment processing, and disclosed where law requires or to protect lawful rights. Our business is in the United States and providers may process information in other countries. Applicable transfer safeguards and mandatory data-protection requirements continue to apply. We do not sell customer information for money.

Retention and security

Account and order records are kept as needed for service, accounting, fraud prevention, disputes and legal obligations. Server logs and backups follow hosting and operational retention schedules. We do not promise indefinite download hosting. Reasonable safeguards are used, but no system is completely secure. You can request information about retention or deletion using the contact above; some records must be retained by law.

Your choices and rights

Depending on your location, you may have rights to access, correct, delete, restrict, object to processing, obtain a portable copy or withdraw consent. Contact us to exercise applicable rights. We may verify identity before acting and will not require unnecessary sensitive information. You may complain to your local data-protection authority. Browser controls can remove cookies, but blocking necessary cookies can prevent portal login and checkout.

Advertising and analytics

Google AdSense is configured on eligible public pages; ad availability depends on Google approval and inventory. Google and other third-party vendors may use cookies based on prior visits to this and other websites. Google’s advertising cookies allow it and its partners to personalize ads across sites.

You can manage Google personalized advertising at My Ad Center and read how Google uses information from partner sites. Participating vendors also provide choices through YourAdChoices. Required consent will be requested before applicable advertising storage or personalization. See Cookies & advertising for details and controls.

Google Analytics and your advertising choices

Google Analytics may process device and browser information, visited pages, approximate location derived from an IP address, referral information and interactions to produce website usage reports. We do not send your locally processed videos or caption content to Analytics. Google processes this data under its privacy policy. You can use the Google Analytics opt-out add-on.

Google's consent tool requests advertising and analytics consent where required in the EEA, UK and Switzerland. Its storage consent signal is also used for Analytics storage. Use Manage privacy choices in the footer to revisit applicable choices. Applicable US visitors can use Do Not Sell or Share My Personal Information; supported opt-out preference signals such as Global Privacy Control are respected by Google's US privacy controls. Advertising disclosures and sharing may be considered a sale or sharing under some state laws even though we do not sell customer information for money. You may opt out without affecting your purchase or download rights.

Children and policy changes

The product and purchase service are intended for people with legal capacity to purchase and are not directed to children under 13. If you believe a child supplied personal information improperly, contact us. We will update this policy when practices change and show the effective date; material changes will be communicated where law requires.
